Section I — Plan Overview and Contact Information

The foundation of any effective BCP is current, accessible contact information for everyone who needs to act when a disruption occurs. This section includes plan approval documentation, leadership roles and responsibilities (BCP Team Leader, Communications Leader, BCP Administrator, and functional leads for each critical business process), a hierarchical contact tree structure for internal personnel, and separate contact tables for external customers, vendors and service providers, utilities and facilities, financial institutions, regulatory agencies, and emergency services.

Section II — Business Risk Assessment and Impact Evaluation

The resulting BCP Priority score — likelihood multiplied by impact, adjusted for time sensitivity — gives leadership a defensible, data-driven basis for sequencing BCP investments and response activities. This framework is directly applicable to dental-specific processes including clinical operations, insurance billing, patient scheduling, supply chain, and regulatory reporting.

Section III — Pre-Emergency Planning

Risk mitigation and emergency materials planning. This section identifies opportunities to reduce the likelihood and impact of disruption before it occurs — the proactive complement to the reactive response documented in later sections. Emergency materials and supplies are documented for each key business process, including dental consumables, office equipment, clinical equipment, and raw materials.

Section IV — BCP Activation and Implementation

The operational heart of the plan. This section defines the triggers for BCP activation, the personnel responsible for activating it, and the task-by-task implementation sequence for each key business process. Tasks are structured with start times from activation, assigned responsibilities, and completion verification fields — designed for real-time use during an active disruption.

Section V — Deactivation and Restoration

Recovery is as important as response. This section defines the triggers and sequence for BCP deactivation — transitioning from operating under the BCP back to normal business operations — with restoration task tables for each key business process, assigned ownership, and completion verification.

Section VI — BCP Testing

A BCP that has never been tested is a BCP that will fail when it matters. This section provides the framework for documenting regular plan challenges, capturing test results, and tracking follow-up actions — with the test log maintained by the BCP Administrator as part of the broader risk management strategy.

Section VII — BCP Maintenance

Business continuity plans require ongoing maintenance to remain effective. This section documents the review cadence, tracks changes made at each review cycle, and ensures the plan remains current as the organization evolves. At minimum, an annual review is recommended — with ad hoc updates triggered by significant operational changes or the results of BCP testing.

Section VIII — Appendices

Supporting documentation including maps to backup sites, vendor and contact lists, remote office setup instructions, and BCP test reports.
